Wednesday July 24, 2019: After opening responses from the above listed companies Taney
County Collector Mona Cope, Deputy Collector Myka Braschler and I noted initial bid pricing
responses – as listed above in the “INITIAL BID RESPONSE PRICING” column. Both ladies
then took copies of each full bid response package for a thorough review. An agenda request
was made, and approved, to deliver a recommendation for award to the Taney County
Commission on Monday July 29, 2019.
Monday July 29, 2019: Subsequent to a thorough review of all the detailed pricing received
to our solicitation and compatibility with the County system now in place, as asked for within
our solicitation indicating Ulrich Software, we discovered that none of the Bidders, other than
Ozark Mailing Services, is already contracted with Ulrich. Therefore additional costs for the
Ulrich programming setup fee had to be included in this recommendation for award review
process as well as envelope costs being adjusted out.
All final cost adjustments, as detailed in the attached spreadsheet, have support
documentation on file. Our current Provider, Ozark Mailing Services, is - and has been,
providing these County needed services by use of said software so they alone do not need to
add the Ulrich programming setup fee into their bid response. However, in order to fully
comply with the County system now in place, as asked for within our solicitation, the Ulrich
programming fee had to be added into all other bid responses we received, per the attached
Spreadsheet.
After making those adjustments Ozark Mailing Services, of Springfield, Missouri, had the low
bid final total. As such Taney County Collector Mona Cope recommended them to be
awarded for a period of 36 months, with renewal options, subsequent to the signing of an
Agreement. After a few questions, and brief discussion, a motion was made to award as such
and the Taney County Commission passed said motion unanimously.
